Sales Coordinator (Based at HCMC Office)

1/ MISSION:

 Be responsible for managing the day-to-day coordination, administration and support to sales team in the sales & marketing department in order to meet business requirements and clients’ satisfaction whilst ensuring adherence to service standards and operating procedures. 

Performs all administrative duties to the standards required by the Department Head to ensure efficient operations of the Department.

 2/ MAIN RESPONSIBILITIES: 

Manage incoming correspondence for the Director of Sales (DOS), ensuring proper routing, follow-up, and documentation.

Handle calls, screen inquiries, take messages, and direct requests appropriately.

Maintain filing systems, records, and efficient office procedures.

Coordinate DOS’s calendar, meetings, travel arrangements, and business itineraries.

Prepare reports (daily, weekly, monthly) and support expense administration.

Draft documents and correspondence for the sales team in line with company standards.

Take meeting minutes and maintain logs when required.

Prepare duty rosters, track attendance, and support payroll submission.

Liaise with internal departments to ensure smooth communication and operations.

Support guest service coordination when needed.

Attend trainings and participate in company activities.

Maintain professional relationships with colleagues.

Perform other duties as assigned by the DOS.

 3/REQUIREMENTS:

 Bachelor’s degree in Hospitality, Business Administration, or a related field

Good command of English, both written and spoken

Proficient in Microsoft Office applications, particularly Word and Excel

Strong administrative, communication, and attention-to-detail skills

Minimum 1 year of experience in a similar role within an international hotel environment
